Restaurant Ramadan Operations: A Practical Playbook from Planning to Eid
Restaurant Ramadan operations are not a normal month with different hours — they are a different operating model, with the whole peak compressed into the minutes before Maghrib.
Restaurant Ramadan operations differ from the rest of the year in almost every way that matters: when guests arrive, what they order, how long they will wait, and who is working the line while fasting. A restaurant that walks into the month with its usual rota, usual stock levels and usual menu discovers in the first week that its days are far too quiet and the hour before Maghrib is far too tight.
The good news is that Ramadan is the most predictable season you have. The dates are known to within a day or so (they depend on the moon sighting), prayer times are known to the minute, and guest behaviour repeats year after year. This playbook lays out what to do before, during and after the month, with worked examples you can run on your own numbers.
How the demand curve shifts in Ramadan
On a normal day you have two peaks: lunch and dinner. In Ramadan the lunch peak largely disappears and three very different waves replace it — a delivery and pickup wave before iftar, a dine-in wave at the call to prayer, and a late-night wave that runs on toward suhoor. All of them drift a little each day as Maghrib moves.

A typical Ramadan day for a mid-sized restaurant — adjust the times to your city and prayer schedule
What makes the pre-iftar peak unusual is that it is compressed against a hard deadline. Every order has the same cut-off — the call to prayer — and an order that arrives ten minutes after it counts as a failure no matter how good the food is. That is why the whole month should be planned around those ninety minutes.
Iftar menus and set boxes: simplify, then prep ahead
Running the full menu at iftar means a kitchen firing dozens of different dishes in the same few minutes. The answer most well-run restaurants arrive at is a shorter Ramadan menu led by iftar boxes and fixed sharing platters, most of which can be prepared hours before the call to prayer.
A single-person iftar box with dates, soup, samosas, a main and a drink — everything prepped ahead except the final reheat.
Family and gathering boxes in two or three sizes, ordered at least a day in advance, which turns peak pressure into scheduled production.
A short suhoor menu — three to five items for the night crew instead of the full list.
Temporarily pull slow dishes that need long à-la-minute cooking, or move them to the post-Taraweeh window when pressure is lighter.
A Ramadan version of the QR menu switched on day one and switched back at Eid, so guests never order something you are not making.
Before any item makes the Ramadan menu, run it through the same logic as menu engineering: is it profitable, is it popular, and can it be prepped ahead without losing quality? An item that fails the third question has no place in the iftar hour, however well it sells the rest of the year.
Pricing iftar packages against food cost
The common mistake is pricing an iftar box by looking at competitors alone. A box bundles many small components, and each extra one — a few dates, a cup of laban, a piece of dessert — quietly adds cost. Cost the box component by component, including packaging, a line that multiplies in Ramadan and is routinely forgotten.
A worked example with illustrative numbers: a single box with SAR 14 in ingredients and SAR 3 in packaging costs SAR 17 in total. If your target is food cost no higher than 32% of the pre-tax price, the floor is about SAR 53 before VAT — roughly SAR 61 on a VAT-inclusive (15%) menu. If the market will not pay more than SAR 45 on the menu, VAT included, the gap is wide, and the fix is not to accept a thinner margin but to redesign the box: one fewer component, or a smaller main. The full method is in our food cost calculation guide.
Iftar reservations: every table at the same minute
On a normal evening arrivals spread across two or three hours. At iftar nearly everyone sits down in the same minute, and that changes the rules of the floor: there is no table turn in the first wave, and an unbooked table will usually stay empty until after iftar.
Open bookings early — at least two weeks before Ramadan, especially for weekends and the last ten nights.
Ask guests to arrive fifteen minutes before the call to prayer and have dates and water on the table when they sit, so they can break their fast on time even if the kitchen runs a few minutes behind.
Limit iftar bookings to what the kitchen can serve, not to seats: work out how many guests the kitchen can serve in the first 30 minutes, and make it a house rule that the host stops taking iftar bookings at that number.
Confirm the day before and publish a clear no-show policy, because an empty table at iftar cannot be resold that night.
Plan a second seating after Taraweeh on the table map, taking those bookings for a post-Taraweeh time.
A table map inside your reservation system shows the host which tables are booked for each time, which makes these rules much easier to apply than notes in a booking diary. For setting up bookings and no-show policies in depth, see our restaurant reservation system guide.
Delivery capacity before Maghrib
How many orders you can deliver before the call to prayer is limited by drivers and trips, not by the kitchen. An example: if a round trip takes 35 minutes in pre-iftar traffic, one driver completes two or three trips in the last 90 minutes. With five drivers carrying two orders per trip, your capacity in that window is roughly 25 orders — and every order beyond it is a promise you cannot keep.
Calculate the order cap for the windowMultiply drivers by possible trips by orders per trip, and stop accepting ‘before iftar’ orders once you reach that number.
Make pre-ordering the easy pathEncourage customers to order early and tell you when they want the order to arrive, so you see the load before it arrives instead of discovering it in the final hour.
Split the city into zones with staggered dispatch timesFar zones are packed and dispatched first, near zones last, so every order lands a few minutes before the call to prayer.
Finish the whole order before calling the driverThe kitchen display lists orders by entry time, so make it a kitchen rule to fire tickets in dispatch order — drivers are then not left waiting at the pass.
Plan the drivers’ own iftarA fasting driver needs to break his fast too; set a stop point and a ready meal on the last run before Maghrib.
Your normal rota does not fit Ramadan. A fasting team has less energy late in the day, and the peak itself has moved into the evening and night. Just as important, many countries in the region apply specific working-hour rules during Ramadan that vary by country and sometimes by category of worker — so check the labor regulations where you operate, or ask your adviser, before you publish the schedule, and never assume one country’s rule applies in another.
A short day shift for prep and receiving, ending early enough for staff to get home or break their fast at the restaurant.
A core evening shift starting an hour before the peak and covering iftar and the post-Taraweeh wave.
A small suhoor crew if you open until dawn, working from a short menu.
Staff iftar at a set time and place, staggered so no station is empty at the call to prayer.
Avoid back-to-back double shifts; fatigue in Ramadan drives up mistakes, waste and workplace injuries.
Track labor as a share of Ramadan sales, not of last month’s sales — the whole equation has changed. The method for reading sales per labor hour and building a rota on the demand curve is in our labor cost control guide.
Forecasting inventory and purchasing
Certain lines jump sharply in Ramadan — dates, laban and juices, soups, pastry and samosa sheets, qatayef and desserts, and packaging — while ordinary lunch items fall away. Suppliers are under pressure too, and a late order can mean a missing item on a packed evening.
A practical rule: start from last Ramadan’s sales per item if your system recorded them, and scale by how much your sales have grown since. If you have no history, treat the first week of the month as your sample and reset reorder points at the end of it. Send purchase orders for long-life lines — dates, packaging, bottled drinks — two weeks before the month, and keep fresh items on short cycles. More detail in our inventory management guide and our guide to purchase order systems.
A step-by-step plan for restaurant Ramadan operations
Six weeks out: pull last year’s dataDaily sales, best-selling items, the delivery-to-dine-in split, and where orders ran late. Every later decision starts here.
Four weeks out: lock the Ramadan menu and pricesIftar boxes, suhoor dishes, which items are paused, and the full cost of each box.
Three weeks out: rota and suppliersDraft the shifts after checking local labor rules, and agree quantities and delivery days with suppliers.
Two weeks out: open bookings and pre-ordersPublish the menu on your channels and switch on iftar reservations and gathering pre-orders.
Final week: a dry runServe a trial iftar for the team at the real call-to-prayer time — prep, packing, driver dispatch and service. You will find the bottlenecks before your guests do.
During the month: a 15-minute weekly reviewSales by period, late-order rate, waste and labor cost — then adjust quantities and the rota for the following week.
Eid and after: don’t end the season abruptly
The final days of Ramadan open another season: Eid orders, family gatherings and hospitality sweets. Have the Eid menu and rota ready a week before the month ends, and watch Ramadan-only stock so you are not left with a month’s worth of dates and packaging, and scale back prep-ahead in the final days so surplus does not turn into waste — see our food waste reduction guide. After Eid, bring back the normal menu and schedule gradually — guests take a few days to return to their routines.
Ramadan is also the best time to win new guests who come back afterwards. A simple loyalty scheme that awards points on iftar orders, redeemable after Eid, turns a seasonal visit into a habit. Practical ideas are in our restaurant loyalty program guide.
Checklist before the first call to prayer
The Ramadan menu is live on the POS, the QR menu and delivery apps, priced on full cost.
A ‘before iftar’ order cap is worked out from driver count and trips, and the team knows to stop taking pre-iftar orders once you hit it.
Bookings are open, and the host limits iftar bookings to what the kitchen can serve in the first 30 minutes.
The kitchen fires tickets in dispatch order, and packing is a separate station from the line.
The rota is approved after checking local labor rules, and staff iftar times are set.
Purchase orders for long-life items are out, and reorder points are updated.
There is a plan for an internet outage at peak — a POS that works offline matters most in exactly these minutes.
The Eid menu and rota are drafted a week before the month ends.
Every item on this list runs on numbers: daily sales and top items, driver capacity, stock, labor hours. Some items — order caps, firing in dispatch order, booking limits — are manual procedures and house rules your team applies, not automatic settings in the system. مطعمي brings POS, orders, kitchen display, delivery, reservations, inventory and reports into one cloud system on a single $99-a-year plan. You can try it free for 30 days and have your Ramadan setup ready before the month begins.
Frequently asked questions
When should I start planning restaurant Ramadan operations?
Around six weeks before the month: analyse last year’s data first, then set the menu and prices, then the rota and suppliers, then open bookings two weeks out. Leave it later and suppliers and the best temporary staff will already be committed elsewhere.
Should I keep the full menu available during Ramadan?
Usually not at iftar. A shorter menu built around prep-ahead iftar boxes speeds up service and cuts mistakes and waste. You can bring back some slower dishes after Taraweeh, when pressure on the kitchen is lighter.
How should I price an iftar box?
Cost every component including packaging, divide by your target food-cost percentage, then compare the result with the market price. If the market is lower, redesign the box rather than sacrificing margin — and remember delivery-app commission.
What working hours are allowed for staff during Ramadan?
The rules differ from country to country, can vary by category of worker, and are sometimes updated each year. Don’t rely on a general rule; check with the labor authority where you operate or a legal adviser before finalising the rota.
